Supervisor Guide
Supervisors guide interns through their internship journey. This guide covers task assignment, daily log management, attendance oversight, and performance evaluations.
Multi-Role Accounts
A user can be both a Supervisor and hold other roles (e.g., Coordinator). The supervisor dashboard shows only intern-related data for the users assigned to you.
Dashboard Overview
Your dashboard shows:
- Assigned Interns — List of interns under your supervision
- Pending Approvals — Daily logs and attendance records awaiting your review
- Task Statistics — Overview of tasks assigned, in progress, and completed
- Intern Status Pipeline — Six color-coded cards showing intern progression (if
dashboard.intern_statuspermission is granted)
Task Management
Creating a Task

Navigate to Tasks → Create New
Go to the Tasks page and click "Create New Task".

Fill in Task Details
Enter the task title, description, assign it to an intern, set priority, and define the due date.

Submit the Task
The intern will be notified immediately of the new assignment.
Managing Tasks

Business Rules
- You can only create tasks for interns assigned to you
- Tasks automatically become "Overdue" if the due date passes without completion
- Comments are visible to both the supervisor and the assigned intern
- Attachments are stored with sanitized filenames and randomized server names
- Completed tasks cannot be deleted
Daily Log Management
Reviewing Daily Logs
Navigate to Daily Logs to see all logs submitted by your interns. Each log shows the intern's name, date, activities, and current status.
Approval Actions
| Action | Effect | When to Use |
|---|---|---|
| Approve | Log is marked as approved. Intern cannot edit it further. | When the log accurately reflects the intern's work |
| Reject | Log is rejected with your comments. Intern cannot resubmit. | When the log is inaccurate or inappropriate |
| Request Revision | Log is sent back for editing. Intern can modify and resubmit. | When the log needs minor corrections or more detail |
Irreversible Approval
Once a daily log is approved, it becomes permanently read-only. Use "Request Revision" if you are unsure, so the intern can make corrections before final approval.
Business Rules
- You can only review logs from interns assigned to you
- Approved logs cannot be edited, deleted, or changed
- Rejection requires comments explaining the reason
- Revision requests allow the intern to edit and resubmit
- All approval actions are recorded in the audit log
Attendance Management
As a supervisor, you can manage attendance for your assigned interns:
- View Attendance — See check-in/check-out records and hours worked
- Add Entry — Manually add an attendance record for an intern who forgot to check in
- Update Entry — Correct mistakes in attendance records
- Delete Entry — Remove incorrect attendance records
- Approve Records — Review and approve attendance submissions
Business Rules
- You can only manage attendance for interns assigned to you
- Adding an entry requires the intern to be assigned to your supervision
- All attendance changes are audit-logged
- Attendance data is scoped to the active internship session
Performance Evaluations
Evaluate your interns' performance using the structured evaluation system.
Creating an Evaluation

Navigate to Evaluations → Create New
Go to the Evaluations page and click "Create New Evaluation".

Select the Intern
Choose the intern you want to evaluate from the dropdown.

Fill in Evaluation Criteria
Rate the intern on defined criteria (e.g., work quality, punctuality, communication, research skills). Add written comments and an overall score.

Submit the Evaluation
The evaluation is recorded and visible to the administration.
Business Rules
- You can only evaluate interns assigned to you
- Evaluations can be edited until they are finalized
- Multiple evaluations can be created per intern (mid-term, final, etc.)
- Evaluation data feeds into certificate eligibility and reports
- All evaluation actions are audit-logged
Reports
Supervisors with the reports.supervisor_own permission can access their own reports:
- Intern performance summary
- Task completion statistics
- Daily log approval rates
- Attendance compliance
Reports can be exported in PDF, Excel, or CSV format.
